How much does the NOVO Property Management system cost?

Thanks to its modular design, the NOVO Property Management system allows you to reduce the initial costs associated with implementation and subsequent expansion of the system as the client’s needs grow. In addition, the very wide range of standard system functionality dedicated to the commercial real estate sector reduces any additional costs of software expansion. NOVO Technologies offers its clients software in a modern “Software as a Service” model, which allows for a significant reduction in fees for the use of complex, comprehensive ERP-class IT systems.
In the case of the NOVO Property Management system, the total price, consisting of an initial fee and a monthly fee, depends on the size of the client’s company, specifically on the number of properties managed (including the number of lease contracts) and the number of system users. The price includes licence costs, project management services provided by a NOVO Technologies project manager, training, training materials, dedicated consultant support, unlimited technical support (email, telephone), full system maintenance based on NOVO Technologies’ IT infrastructure, secured according to high security standards, and a guarantee for the entire duration of the contract.

Can the price offer be adjusted to the client’s budget?

Yes, NOVO Technologies has a very flexible pricing policy that allows the implementation budget to be tailored to the client’s specific situation. For example, a client may decide to implement only one system module in a given year and gradually implement the remaining modules in subsequent years, depending on the available budget and needs.
In the modern “Software as a Service” distribution model, which we offer to our clients as standard, the fees for using the system are spread over time, so that the client can use the full functionality of the implemented software already in the first year, paying the costs of implementation, licence and system maintenance in monthly fees.
The monthly fees depend on the size of the client’s company, specifically on the number of facilities served (including the number of lease contracts) and the number of system users. For example, in the case of clients managing two or three facilities that are serviced by one person in the company (one system user), the monthly fees for the NOVO Property Management module are calculated at a level not exceeding PLN 2,000.

Implementation

How long does it take to implement the system?

The time needed to implement the system depends on the size of the client’s company, including, above all, the number of properties, tenants and lease contracts, the complexity of its organisation, the complexity of the integration process with internal systems and, very importantly, the level of involvement of the client’s team in the system implementation project.
The implementation of the NOVO Property Management system can be quick. Even in the case of large organisations, the time needed to prepare basic data for automatic invoicing, import data into the system and parameterise the appropriate version of the system for the client can be limited to a few weeks, provided, of course, that the client’s team is sufficiently involved. The implementation time also depends on whether the client decides to modify the standard version of the system according to the specific needs of their organisation.

What level of involvement of the client’s employees is necessary in the implementation project?

In order for the software implementation to be completed within the project schedule, it is necessary to involve the client’s employees in the project. We flexibly adjust the recommended scope of involvement to the scope of the project, the size of the client’s company and the client’s guidelines.
It is worth noting that the scope of involvement of the client’s employees in the project has a key impact on the speed of system implementation. In an optimal structure, the client should have a dedicated project team (for full implementation of the two basic system modules: NOVO Property Management and NOVO Facility Management) consisting of a project manager, a person responsible for financial settlements, a person well versed in lease contracts, and a person responsible for technical issues (FM area).
The client’s team’s involvement in the project does not reach 100% of their working time, but the greater the time commitment, the faster the implementation project will be completed.

How will the implementation project affect the client’s day-to-day operations?

The implementation of a new, cross-functional system such as NOVO Property Management may cause minor or major complications in the daily operations of any company. That is why our experts have developed a special system implementation methodology that minimises the potential negative impact of the project on the client’s current operations.
The implementation methodology used in every system implementation carried out by NOVO Technologies is constantly being improved, so that with each subsequent implementation it is even better suited to the specific nature of IT system implementations for companies operating in the commercial real estate market. With good work organisation (which is largely ensured by the NOVO Technologies methodology), the client’s team’s involvement in the project should not exceed 100% of their working time, and from the perspective of the entire implementation schedule, it should be lower.

What are the technical requirements for using the NOVO Property Management system?

In its standard offer, the NOVO Property Management system is offered in a modern software distribution model called “Software as a Service”, in which the only requirement for system users is access to a computer with an installed web browser (preferably Firefox or Chrome) and Internet access.
For clients looking for solutions available in a more classic model, involving the installation of the platform and system on the client’s servers, it is necessary to use servers with the Linux Debian operating system, Apache 2 Server, Postgresql min. 9, PHP7, Open Office, Xvfb, ImageMagik package and a computer with a web browser installed (preferably Firefox or Chrome) and a permanent Internet connection.

What is the SaaS model?

NOVO Technologies provides NOVO Property Management software in a modern SaaS (Software as a Service) model, i.e. a service model. The “Software as a Service” distribution model is a modern software distribution system that has been developing intensively around the world for over a dozen years. In the SaaS model, the client pays a single subscription fee for access to the application via a standard web browser, which includes not only the use of the software, but also the server room, servers, databases, IT staff and services necessary to use the software via the Internet.
The SaaS model usually results in a significant reduction in the total cost of using the software compared to the “traditional” IT model based on the client building technical and human resources and independently installing and maintaining IT systems and platforms.

Can I purchase a licence for the system and install it at the client’s premises?

Yes. However, it should be taken into account that this solution will be more expensive for the client, as NOVO Technologies will have to install and maintain the entire platform and IT environment for a single system implementation. In other words, the client will not be able to enjoy the benefits of using the system in a modern SaaS (“Software as a Service”) model.

Is it possible to differentiate access rights and the scope of permissions for individual users in the system?

Yes. Access rights management in the NOVO Property Management system is very flexible. Depending on the client’s needs and the procedures in force in a given organisation, the NOVO Property Management system allows you to differentiate the scope of access to data for different users and for different properties, and additionally differentiate permissions in individual areas (e.g. a given user can only view data on the screen, but cannot edit or delete it).
In other words, users can view data for one, several or all facilities, or they can have access only to a specific category of data or documents.

Functionality

How long has the NOVO Property Management system been available?

The first version of the NOVO Property Management system was implemented in 2008. It covered property management in a large shopping centre. Since then, the NOVO Property Management system has been significantly expanded. In its latest version, it includes four modules supporting the work of managers, developers and owners of commercial properties from the moment of commercialisation through administration in the areas of property and facility management until the sale of the property.
Each implementation of the NOVO Property Management system enriches its functionality. In recent years, the area of reports and analyses available in the system has also been significantly expanded.

How many properties can be managed simultaneously?

The NOVO Property Management system is highly flexible and scalable, enabling the management of any number of shopping centres and chains, office buildings, warehouses, public facilities, etc.
Thanks to full Internet access, users located in different countries can use the system without even realising that they are all using one large database. There is also no limit in the system on the number of entities, premises, lease contracts, tenants or the number of equipment categories or the equipment itself that can be managed.

Is there a limit on the number of users of the application?

No. The NOVO Property Management system allows unlimited users to access the system, with monthly fees for using selected modules (NOVO Property Leasing, NOVO Property Management) depending on the number of users.
For the Facility Management module, where usage fees depend on the number of facilities, the client can grant access to the system to an unlimited number of users.

Does the system support all categories and types of settlements with tenants?

Practically yes. The NOVO Property Management system incorporates best practices from the commercial real estate market. It offers advanced rent billing, utility billing and re-invoicing, and a full range of operating cost accounting.
In addition, due to its flexibility, the NOVO Property Management system can be quickly expanded to meet the dynamically changing needs of the commercial real estate sector.
It is worth noting that settlements are made automatically, which saves a lot of time and ensures comfort of work for people responsible for these areas in the client’s company.

What reports are available in the system?

The NOVO Property Management system comes standard with a very comprehensive set of financial and operational reports supporting the day-to-day work of Property and Facility Managers, decision-making processes in strategic areas, and due diligence projects related to real estate sales. One of the most extensive reporting areas is receivables control – the system offers several different reports presenting data on tenant receivables in various time and content cross-sections.
The ergonomic architecture of the system allows reports to be created with virtually a single click.
In addition, to make the use of data contained in the system even more convenient, NOVO Property Management allows quick export of any report to an Excel spreadsheet with the correct formatting (numbers as numerical data, text as text data, etc.).
Some of the reports are also proactive, i.e. after they are generated, the user sees highlighted data that is critical for a given summary, e.g. in a report on lease security, the system user can easily see for which leases the security provided is about to expire, is already out of date or too low.
The NOVO Property Management system is also integrated with a Business Intelligence tool (data warehouse), allowing users to create virtually any report using functions familiar from Excel.

Does the system support foreign currency invoices?

Yes. The NOVO Property Management system provides full support for foreign currency invoices, including dual currency invoices, with the additional option of specifying different bank account numbers for individual items on the invoice.

How does the system support the handling of lease contract security deposits?

NOVO Property Management supports all types of lease contract security and proactively assists in managing this area. Dedicated system reports are used to monitor the status of contract security. The reports are proactive, i.e. after they are generated, the user sees highlighted data that is critical for a given statement, e.g. the user can easily see for which lease contracts the security provided is about to expire, is already out of date or too low.
In addition, the system allows automatic email alerts to be sent to those responsible for security, which further facilitates the management of this important area.
The system also includes an extensive module for handling document and correspondence with tenants, which allows you to automate the process of correspondence with tenants in areas such as lease contract collateral (e.g. the functionality of generating reminders).

Does the system work on mobile devices? Does it require any installation?

The NOVO Property Management system is a flexible solution – it works independently of the operating system and device type. It can run on mobile devices such as smartphones and tablets, as well as on computers with Windows or Linux operating systems. The only requirement is that the device has a permanent internet connection.

Does the system support electronic invoices?

Yes. NOVO Property Management offers electronic invoicing as standard, including the ability to monitor the delivery status of documents.

Does the system offer rent invoicing based on tenants’ turnover?

Yes. As standard, NOVO Property Management offers a feature that allows you to settle rent based on the turnover generated by tenants.
The advanced algorithm used in the system allows users to record tenant turnover at any frequency (daily, monthly, quarterly) and settle rent adjustments in accordance with the rent scales specified in the lease contract on a monthly, quarterly, half-yearly or annual basis.

How can the system support receivables management?

The standard version of the NOVO Property Management system includes a wide range of reports on settlements with tenants. Based on configurable reports presenting data in various cross-sections, you can effectively monitor the inflow of receivables from individual tenants.
In addition, the system offers users various templates for documents related to correspondence with tenants regarding the payment of receivables, including payment reminders, which can be generated from the system directly for a given tenant. An additional support feature is the possibility of grading payment reminders, which is an important element from the point of view of possible legal action.
The system also offers the functionality of issuing interest notes (based on different interest rates) individually or in groups for all tenants.

Can the system store documents related to a given tenant or leased space?

Yes. The electronic document archive is one of the key features of the NOVO Property Management system. Users can freely design the structure of electronic documents in the system (e.g. by owner, property, premises, tenant, lease contract, etc.) and store all documents related to their business activities in the system.
In addition, the document archive has a contextual document search function by phrase – users do not need to remember the name of the document or where it is stored; simply by entering a key phrase, the system will search for all documents that contain it. The archive increases the efficiency of the entire client’s team – all documents are in one place, clearly and logically catalogued and available at the click of a button.

How to settle operating costs when different tenants have different shares in different cost categories?

One of the key features of the NOVO Property Management system is its “algorithmic nature”, which means that it is capable of handling very complex calculation algorithms in areas such as utility and operating cost settlements. This results in a high degree of system flexibility and scalability of the processes that the system can handle..
This feature of the system is particularly important in the Polish market, where there is no standard lease contract and where agreements, even within a single property, can vary significantly in terms of parameters, e.g. tenants negotiate their share and its level in different operating cost categories.
Thanks to its flexible architecture, the NOVO Property Management system enables fully automatic settlement of operating costs, automatic issuance of adjustment invoices to tenants (or flexible settlement of overpayments) and preparation of individual, transparent settlements of operating costs for each tenant in the form of an attachment to the invoice.

System expansion options

Are there any plans to expand the software with new functionalities?

The NOVO Property Management system is updated in line with the latest trends in the commercial real estate industry and IT solution standards. The system complies with legal regulations, so all modifications resulting from changes in the law are included in ongoing updates.
In addition, in order to meet the needs of our clients, we constantly collect user feedback and, based on its analysis, make appropriate modifications to the software or expand it with additional functionalities. As a result, we strive to update the basic version of the system with new functionalities on a regular basis, every few months.

Security

Does access to the software via the Internet guarantee the security of the data contained in the system?

Data security is a key issue for NOVO Technologies, given the “Software as a Service” model offered to clients, in which clients use the system via the Internet. The solutions offered by NOVO Technologies are adapted to legal regulations concerning information security, including, among others, the Personal Data Protection Act.
All data contained in the system is adequately protected against loss, destruction or unauthorised access in accordance with the standards used in banking systems. The technical infrastructure on which our clients’ data is stored is located in a reputable, certified colocation centre with the highest security standards available in Poland.

What will happen to our data if we decide to stop using the system in the future?

In the event of termination of the contract for use of the system, each client will receive from NOVO Technologies, on a CD/DVD, all data collected during their use of the NOVO Property Management system. The data can be restored using any database-based tool (e.g. MS Access).
In accordance with the terms and conditions, which form an integral part of the contract for use of the system, after termination of the contract, the client has access to historical data for 60 days, and NOVO Technologies may delete it earlier only if the client sends a written request to that effect.

Will our data be stored securely, what security measures does NOVO offer?

NOVO Technologies applies a high level of data security in all products offered to clients. System security measures at the level of the NOVO Property Management system itself, , in addition to standard requirements such as the length and diversity of characters in the system access password, blocking access after 3 unsuccessful attempts, limited user session time and SSL certificate support, also include NOVO Technologies’ own solution consisting of verifying the system user directly from the database, rather than from the system interface itself. This solution significantly increases the level of security of data stored in the system.
The system automatically registers each login to the database and saves detailed information about the login. The technical and organisational conditions for securing the data entrusted to NOVO Technologies are implemented in one of the best data centres in Poland, with colocation centres in several locations in our country.

Integration with other systems

How can the system work with other IT systems? What systems does it work with?

The NOVO Property Management system is flexible and open to integration with external IT systems. Most often, our clients decide to integrate with financial and accounting systems, less often with building management systems, so-called BMS systems, or client counting systems in shopping centres (such as Footfall).
Integration with financial and accounting systems results in a significant increase in efficiency and comfort of work, as well as the ability to generate additional reports.
Data on media consumption from the BMS system can be used to achieve a higher level of automation in media billing.
Data from Footfall systems can be used, for example, to analyse the effectiveness of promotional campaigns and sales by comparing tenant turnover with the number of visitors.

If the system does not have the standard functionality to reflect a specific provision of a selected lease contract, an appropriate modification can be quickly introduced to the system, extending its scope with this new, specific functionality.
